Techniques of Effective Communication

Developing advanced communication skills is in no way different from learning other things as it lays emphasis on multiple aspects of competence in skills which is very much needed for profession success these days. Communication skills of and individual help in accomplishing professional objective in a very effective manner. The objective of using language efficiently is to encourage communicative competence. Learning  a language requires good command over four basic skills i.e., listening, Speaking, Reading and Writting. The acronym used for them stands as LSRW. Though these skills are viewed separately, they collectively formulate a comprehensive whole much required to master effective communication skills. The characteristics of these skilled in detail are as follows:

Listening 

         Listening is the ability to perceive others with patience. Being a two way process, an effective communication requires good listening skills for supplying  exact response at occasions like meetings, interviews, gatherings, seminars and conference. The other side of listening reflects etiquettes of individuals who gives attention to the speaker and does not interfere in the middle. Such gesture helps in building a good image of the person as well which is equally required for professionals achievements. A good listening also provides a space to enter into the psychological realm of on understanding, style, attitude and view point of the speaker. 

Listening and Hearing

        Listening is an activity which is purpose oriented and led by concentration. It requires effort hence lays attention on the remarks made by speakers. Listening evokes senses to observe and interpret. It is s technique which adds value to the interpersonal relationships. Hearing, on the other hand, is a Mechanical response to the sounds we come in contact with. It does not require. It is effort any very obvious to the senses.   • Patience is the key to listening. Interruption in the middle is not considered to be good.
  • Speakers should be given appropriate time. 
  • Objective of listening should be identified. 
  • Disapproving attitude should be left while listening. 
  • Barriers in listening should be resolved. 
  • Distractions should be avoided. 
  • Note making could be very useful while listening. 
  • Theme is very much required to be understood. 
  • Interactions with speaker should be made after the speakers finishes. 


Speaking

          Speaking grants clue to the intellectual, geographical, linguistic, and emotional state of speaker. This skill required most at interpersonal and professional levels as it provides immediate feedback to the articulated words. Developing effective communication skills is a must for professionals today in  order to get benefitted at multiple levels in the organization. Effective speaking skills required right selection of words and a good knowledge of paralanguage features, audience analysis, delivery method, content preparation and right medium of speaking. 
          Speaking is an art. It requires a very good organization of thoughts into words, to be used before appropriate audience. In fact, if given a chance, content should be used as per the requirement and level of understanding of the  listeners. Though speaking is a subjective approach of an individual, it is the "you" approach to the listeners in speaking that is of prime significance. Non-verbal cues like body language, postures, eye contact and kinesics become very significant in speaking as they support the idea of the speaker in a parallel manner. Paralanguage refers to the features of communication which transform the sense of emotion conveyed through words. Following paralanguage features add quality to the speaking technique. 

Pitch:- 
     Pitch refer to the Distinction of sound. It allows the arrangement of sounds on a scale of frequency. 
Tone:-
     Tone is the use of pitch in language to discriminate meaning. 
Intonation:-
      Accent is a unique style of pronouncing a language. 
Stress:-
      Stress refers to the emphasis laid upon certain syllabus in a word or to a word in a sentence.

  • Words should be pronounced Distinctively. 
  • Slow and easy speaking us always appreciated. 
  • An eye contact with listeners conveys meaning in a very clear manner.

  • Good body language should be Maintained while speaking. 

Reading
          Reading supports learning in various ways. It involves good recognition and comprehension skills. Recognition refers to the identification of words and symbols depicted in a language and comprehension is the method of extracting meaning of the words and sentences.
Following techniques help in improving reading skills:

Skimming:- Skimming is a very basic category of reading. In skimming, central thought is grasped quickly without getting into the detail. Major idea of the writing identified promptly. This technique is good for seeking specific information in a limited  time. 

Scanning:- Scanning involves looking up a particular  words, phrase or a letter that is very much associated to some work already known or in practice. It involves reading paragraph given in the beginning and at the end of a text to comprehend the theme, extracting meaning out of the subheading, title, subtitles or illustration. It a kind of technique that is adopted to look up a name in telephone dictionary rolling down the eyes swiftly towards the bottom. Words in italics, writting pattern, words written in bold, words in capital letters, size and colour ect. Are taken in consideration in scanning. 

Close Reading:- Close reading us very much useful in literary writings. It requires a great deal if concentration on text as it is not merely confined to the understanding of the words. Writing

Style of writing should be opted as per the understanding of the reader because ultimate aim of any sort communication is to seek response. 
Content implies right information in appropriate words. Here are some guidelines for improving writing :
  • Writing should be a complete whole.

  • Familiar and easy  words should be chosen. 
  • Selection of a suitable order of writing is very important. 
  • Unity amongst the sentences in a single until  i.e., paragraph ensures singleness of idea in paragraph. 
  • Emphatic devices in writing like dishes, italics, colon, semi-colon, commas, underlining, help in conveying the right mind-set of the writer. 
  • Active voice should be preferred as it asks for direct response. 
  • Repetition should be avoided because it brings monotony in writing.
